Controller and scope
Fenwick Process Intelligence Ltd, 18 Calderwick Lane, Ancoats, Manchester, M4 6HJ, United Kingdom, is the controller for website enquiry information. Contact [email protected] with privacy questions. Processing undertaken for a client project may be governed by a separate agreement, privacy notice and data processing terms. This policy does not replace those documents.
Information collected
When you email us, we receive your email address, message and any information you include, such as your name, organisation and project description. The contact form prepares a message in your own email application. Its fields are processed locally for validation and draft preparation; they are not sent to a website form endpoint or saved by the form script.
Hosting and security services may process technical information associated with requests, including IP addresses, requested pages, browser details and error information. Do not send credentials, unnecessary special-category information or third-party personal records in an initial enquiry. External websites linked from our pages have their own privacy arrangements.
Purposes and lawful bases
We use enquiry information to respond, clarify requirements, prepare proposals and manage relevant business correspondence. The lawful basis may be taking steps at your request before entering a contract, performing a contract, or legitimate interests in responding to business enquiries and administering our services. Legitimate interests are considered alongside your rights and reasonable expectations.
Information may also be retained to meet legal obligations or establish, exercise or defend legal claims. Where consent is required for a particular activity, it must be obtained before that activity begins and can be withdrawn. Enquiry information is not treated as permission to send unrelated promotional messages.
Cookies and service providers
See the cookie policy for information about browser storage and your controls. Website delivery, email handling and security may require processors acting under appropriate terms. Access should be limited to what is necessary for their service. Project-specific AI providers and other processors are considered separately when agreeing the project’s data handling arrangements.
Where personal information is transferred outside the UK, applicable transfer requirements must be met. These may involve adequacy regulations or contractual safeguards, depending on the destination and processing. You may request information about safeguards relevant to your enquiry. We do not sell enquiry information or use it for cross-context behavioural advertising.
Retention and security
Enquiries are retained only for as long as needed to handle the discussion, maintain necessary business records or address applicable legal requirements. Unsuccessful enquiries are reviewed for deletion when the business purpose ends. Contractual records may need longer retention than informal correspondence. A specific period can be explained in relation to the record and applicable obligation.
Appropriate access restrictions and security measures should protect information against unauthorised access and loss. No internet transmission can be guaranteed secure. If an enquiry requires confidential attachments or substantial personal data, contact us first to arrange an appropriate transfer method.
Your rights and complaints
Under the UK GDPR and Data Protection Act 2018, you may have rights to access, rectification, erasure, restriction, portability and objection, subject to applicable conditions. You may withdraw consent where processing relies on it. We may need proportionate information to confirm your identity before handling a request.
Where the EU GDPR applies to your circumstances, its applicable rights are also respected. Where the California Consumer Privacy Act, as amended, applies, eligible residents may exercise applicable access, correction, deletion and opt-out rights without unlawful discrimination. Applicability depends on the relevant legal requirements, not merely on visiting this website.
Send requests to [email protected]. You may also complain to the Information Commissioner’s Office or another competent supervisory authority. This policy may be revised to reflect changes in processing or legal requirements; the version published here governs the website information described in it.
